Travel Cancellation Instructions

Easily cancel a traveler’s reservation—with or without a refund—directly from your Trip Data dashboard.

As an organizer, follow these steps to cancel a trip reservation or request a refund:

  1. Log in to your SquadTrip account.

  2. On the dashboard, go to "Trip Data".

  3. Click on "Cancel a Trip Reservation".

  4. Locate the traveler whose booking you want to cancel.

  5. From the "Cancel" dropdown next to their name, select either "Cancel without refund" or "Cancel and issue a refund".

    1. Choosing "Cancel without refund" will automatically cancel the booking.

    2. For "Cancel and issue a refund", select the payment transaction to refund, then click "SUBMIT CANCELLATION".

As the organizer, you have the discretion to decide whether to issue a refund. If you choose to proceed with a refund, the traveler will receive the funds within 5-10 business days, provided there are sufficient funds in your Stripe account.

Note: Communicate with travelers right away by explaining why the trip was canceled, reassuring them that refunds will be issued, and giving a clear timeline. If Stripe funds need time to clear, mention it upfront to set expectations and share how they can reach you with questions.
