What to Expect If Your Trip Is Canceled

what you can expect from the organizer, and what to do if you haven’t received your refund.

We know how disappointing it is when a trip you were excited about gets canceled. Whether it was a retreat, celebration, or just a much-needed getaway—you made plans, and now those plans have changed.

Why Was the Trip Canceled?

There are many reasons an organizer may need to cancel a trip—changes in logistics, low registration, personal emergencies, or vendor issues. Regardless of the reason, you deserve clear communication and a resolution.


What Happens to the Money I Paid?

There are two common paths:

  1. Refund to your original payment method

    This is the standard option. Some organizers may need to add funds to their Stripe account first, which can take up to 5 additional business days before they can issue the refund, bringing the timeline to about 2-3 weeks.

  2. Credit toward a future trip
    In some cases, the organizer may offer you the option to apply your payment to a future trip.

When Will I Get My Refund?

Organizers are expected to refund travelers as soon as possible. If they don’t currently have funds available in their account, it may take a few days for them to transfer the money into Stripe before they can issue the refund.

Please allow up to 30 days from the cancellation notice for the refund to appear in your bank or credit card account.

What If I Don’t Receive a Refund?

If 30 days have passed, contact your organizer. You can click this link for instructions on how to find your trip organizer’s email address. If 30 days has passed and:

  • You haven’t received a refund, and

  • You haven’t been able to get in touch with the organizer,

You can contact your bank or credit card provider to request a chargeback (also known as a payment dispute). Be sure to provide them with:

  • A copy of your payment receipt

  • The cancellation message from the organizer

  • Your communication attempts

I Booked a Flight or Hotel—What Can I Do?

Unfortunately, SquadTrip does not manage traveler flights, accommodations, or travel insurance. We recommend:

  • Checking your airline’s cancellation or credit policies

  • Calling your hotel to see if your reservation can be canceled or modified

  • If you purchased travel insurance, check your policy to see what’s covered
