How to Change or Move a Traveler’s Package

Overview

Organizers may occasionally need to move a traveler from one package to another. For example, from a Double Room to a Single Room.

While this can be done within the same package type (e.g., room type to room type), it’s not currently possible to move travelers between normal packages and room-type packages due to system database limitations.

This article explains:

  • How to change a traveler’s package within the same package type

  • What you can’t do and the available workaround


Before You Start

You can:

  • Move travelers between packages of the same type (e.g., room type → room type, or standard → standard).

You cannot:

  • Move travelers from a room-type package to a standard package (or vice versa).​

Package Type Definitions

  • Standard (or Normal) Packages
    Packages that do not contain room types and only have a single package cost per person.

  • Room-Type Packages
    Packages that include multiple room categories (e.g., Single, Double, Triple). Each room type has its own pricing and occupancy settings.

This distinction matters because travelers can only be moved within the same package type.


How to Move a Traveler Between Packages (Same Type)

Step-by-Step Process

1. Go to Trip Data

  • From your organizer dashboard, open Trip Data.

  • Wait for the trip information to fully load.


2. Find the Traveler

  • Locate the traveler’s name in the Guest List Information section.

  • Click the Eye (View Booking Details) icon beside their record.


3. Edit the Traveler’s Order

  • Click Edit Order to open their current package details.

  • You’ll now see all available room type options or package options.


4. Select the New Package or Room Type

  • Choose the desired package or room type.

  • If the package includes occupancy options (e.g., Single or Double), select the correct one.

  • Click Next.


5. Review Add-ons and Pricing

  • Add or remove any add-ons as needed.

  • Click Next again.

  • The system will automatically calculate any price difference.

    • If the new package costs less, the remaining balance will be refunded.

    • If the new package costs more, the traveler’s profile will show a pending balance to pay.


6. Save and Confirm

  • Click Save and then Confirm Refund/Adjustment.

  • The system updates the traveler’s booking automatically.


Important Limitation

You cannot directly move a traveler:

  • From a normal package to a room-type package, or

  • From a room-type package to a normal package.​

This is due to how the SquadTrip database differentiates package structures.

Notes & Best Practices

  • Always confirm the traveler’s approval before making changes.

  • If the refund or additional payment doesn’t process automatically, verify under Payment History.
