How to Use Group Chat on SquadTrip

This guide explains what the feature is, how it works, and the steps to enable it for any trip.

Group Chat is feature that helps you keep your travelers connected before the trip even begins. Once enabled, confirmed travelers can chat in real time, share updates, ask questions, and build excitement together.


What Is Group Chat?

Group Chat is a private real-time chat space available only to confirmed travelers and the trip organizers. If you enable this feature from the Trip Basics page, it will appear on your Trip Page, in the Trip Details section of the traveler’s profile after they login, and inside your Organizer Dashboard, making it easy to stay connected and manage conversations. What travelers can do:

  • Send messages

  • Share excitement and questions

  • Post photos, videos, and files

  • Respond to automated prompts (optional)

What organizers can do:

  • Post messages and updates

  • Pin important information

  • Delete messages

  • Customize welcome and milestone messages

  • Create polls (if enabled)


How to Enable Group Chat

You can turn on Group Chat directly from the Basic tab of your Trip Builder.

Steps to enable Group Chat:

  1. Open your trip in the Trip Builder.

  2. Navigate to the Basic page.

  3. Scroll down to Group Chat.

  4. Toggle Enable Group Chat ON.

  5. Once it’s enabled, you’ll see a new section where you can add your Welcome Message and expand the dropdown for Automated Milestone Messages.


Write Your Welcome Message

The welcome message is the first thing travelers see when they join the chat. This helps break the ice and sets the tone.

You can use the default message or write your own.

Example default message:
“Welcome to the crew! 🎉 This is your space to connect before we take off. Say hi, share what you're looking forward to, and get ready for an amazing trip together!”


Automated Milestone Messages


Under the same Group Chat section, you can turn on automated prompts that get sent at key moments such as:

  • First Booking

  • 60 Days Out

  • 30 Days Out

  • 7 Days Out

  • Day After Trip

You can keep the defaults or customize the message for each milestone.

These prompts help spark conversation and keep travelers engaged throughout the entire trip lifecycle.

Note : When you replace the default automated message with your own, it will show Custom Message on the right side instead of Using Default.


How To Access Chat After Enabling

As an organizer:

  • Go to your Dashboard

  • Find the trip card

  • Click the Group Chat button

  • The chat window will open on the left side of your screen

Note - When you receive a message, you’ll see a notification on the Group Chat badge, as shown in the screenshot.

As a traveler:

  • Traveler needs to go to the trip page details page

  • Click Group Chat (visible only after booking is confirmed)



What You Can Do Inside the Chat

Once enabled, both you and your travelers can:

  • Send messages

  • Share photos, videos, and files

  • Use emojis

  • Reply in real time

  • See who else is online

Organizers can additionally:

  • Pin important messages

  • Delete messages

  • View “Best Practices” inside the chat

  • Manage automated messages

  • Guide travelers and encourage engagement

Group Chat helps you build community, reduce questions, and keep travelers excited. All you need to do is enable it once, write a welcome message, and the chat will be available automatically to your confirmed travelers.
