How Your Payment Plans Run After a Deposit

The moment your first deposit lands, SquadTrip starts running the payment plan for you. Most of what happens next is automatic — and it's the part new organizers usually don't think about until deposits start coming in. Here's exactly how it works, so you can relax and focus on filling the trip.

What Runs Automatically (You Don't Touch It)

When a traveler puts down a deposit today, everything after that is handled for you:

  • The remaining balance auto-charges* on each scheduled date.

  • Reminders send automatically before every due date — you never have to send payment reminders yourself.

  • Receipts send automatically after each successful charge.

  • If a payment doesn't go through, SquadTrip automatically reschedules and retries it* — no manual follow-up needed.

* Auto-charge and automatic rescheduling are options you turn on under the Payments Settings tab. If they're off, you'll collect and reschedule payments manually instead.

Travelers Can Pay Ahead — Without Being Double-Charged

Travelers can pay early or make extra payments whenever they want, and SquadTrip credits it against their next scheduled installment. They're never charged twice in a month.

Example: the upcoming installment is $300, but a traveler pays $250 three days early. On the due date, SquadTrip charges only the $50 balance for that month — not the full $300 on top. Travelers can also make additional payments or pay off the balance in full at any time.

Travelers Manage Their Own Card

A traveler can update the card on file themselves at any time. The plan simply keeps running on the new card — nothing for you to do.

The Schedule Adjusts Automatically for Each Traveler

This is the one that surprises new organizers. The plan is dynamic — SquadTrip splits the remaining balance across the payment dates still ahead and works it out fresh for each traveler the moment they book. You never rebuild the schedule.

Example: say your plan is a $200 deposit + $300/month for a traveler who books today, with payments on the 15th.

  • Someone who books today sees the $200 deposit + 7 × $300.

  • Someone who books 60 days later still pays the $200 deposit — but now sees 5 × $420, because there are fewer months left before the trip. SquadTrip recalculates it for them, instantly.

Peace of Mind

You set the plan up once. From the first deposit onward, the collection, reminders, receipts, early-payment credits, card changes, and the schedule math all run themselves. Your job is simply to keep filling spots.

Frequently Asked Questions

Do I need to send payment reminders? No. Reminders go out automatically before every due date. You don't send anything.

What if a traveler pays early or pays extra? It's credited against their next installment, so they're never double-charged that month. They can also pay the balance off in full anytime.

Can a traveler change their card? Yes, anytime. The plan continues on the new card.

If someone books much later, do I have to create a new schedule? No. The schedule is worked out for each traveler when they book, based on the payment dates still ahead — a later booking simply sees fewer, larger installments.

Where does the money go? Straight to your connected Stripe or Square account on the normal payout schedule. SquadTrip never holds your funds.
