Setting up payment plans with auto-billing

Set up payment options and plans + auto-billing, whether you're offering basic packages, all-inclusive trips, or unique add-ons.

Step 1: Choose Your Package

Select the travel package you want to add a payment plan for. For example, if your package costs $2602.30, you can offer two payment options: Pay in Full or Pay in Installments.

Step 2: Set the Minimum Deposit

Enter the minimum deposit amount travelers must pay to join the trip. For example, set it to $100 as the starting amount.

Step 3: Choose the First Payment Date

Pick when you want the first payment to start. For example, if your trip is in November, you might set the first payment date to November 15th to give travelers time to plan their payments.

Step 4: Set the Payment Duration

Use the slider to choose how many months travelers will pay over. SquadTrip automatically calculates the monthly payment and sends reminders 5 days before each due date. The minimum amount for installment is $35.

Step 3: Add an Extra Fee (Optional)

You can add a small extra fee for travelers who choose to pay in installments. This helps cover processing costs and encourages early payments. You can also keep it at $0 if you prefer not to charge extra.

Step 6: Late Sign-Ups Adjust Automatically

If someone signs up after your first payment date, SquadTrip automatically adjusts their payment schedule so that all payments are completed before the trip starts.

Step 7: Auto-Billing

Auto-billing is turned on by default. Travelers are automatically charged on their scheduled payment dates, and reminders are sent before each payment.


Before You Publish

  1. Save your payment options:
    Select your packages from the dropdown, update your Pay in Full and Pay in Installments settings, then click Save Changes at the bottom. Missing these can cause errors like “Internal Server Error” while previewing or “Add one package before publishing.” or you might not see the packages prices in payment option settings correctly

  2. Check room type settings:
    If your package uses room type pricing, make sure you’ve assigned a room category and room options. If you skip this step, you may see similar errors while previewing or publishing your trip or see your packages as Sold out.


Note- The last payment must always be before the trip start date. If it goes beyond that, SquadTrip will automatically adjust the schedule. To keep your preferred number of installments, set your first payment date a bit earlier.
