Overview
On SquadTrip, a traveler's email address is their username. It is what they sign in with, and it is where every confirmation, receipt, and payment reminder is sent.
That means one mistyped character at checkout locks a traveler out of everything at once. Organizers can now fix it directly from the Traveler Detail page -- no support ticket required.
Why You Might Need to Do This
Situation | What the traveler is experiencing |
Typo at checkout ( | They never received a booking confirmation or receipt. Payment reminders bounce. "Forgot password" sends the reset to an address that doesn't exist, so they can never get in. |
They can't sign in with Google | Google returns a "No google User Exists" error, because the email Google sends doesn't match the address on file. |
They changed email addresses | Booked with a work address they no longer have access to, or switched providers mid-trip-cycle. |
Booked under someone else's email | A partner or friend checked out for them, so all trip communication goes to the wrong person. |
Duplicate/abandoned account | They created the booking under one address and keep trying to log in with another. |
Left unfixed, these travelers quietly miss every payment reminder -- which turns into a past-due balance and an awkward conversation later.
Before You Start
You need edit access to the trip. Team members with view-only access will not see the Edit link.
Have the traveler confirm the correct spelling of their new email in writing first. This changes a login credential, and the old address stops working immediately.
Step 1: Open the Traveler's Detail Page
Go to your organizer dashboard
Open the trip the traveler is booked on
Go to the Travelers tab
Click the traveler's row, then choose View Details
This opens the Traveler Detail page on the Account Info tab.
Step 2: Click Edit Next to the Email Address
In the Account Information section, find the Email Address row and click the ✎ Edit link beside it.
Step 3: Type the Correct Email
The field becomes editable. Type the corrected address.
SquadTrip checks the address as you go and flags likely typos. If it spots one, you'll see a "Did you mean...?" prompt with two choices:
Use this -- accepts SquadTrip's suggested correction
Keep mine -- keeps exactly what you typed
This is a safety net, not a gate. If the traveler genuinely uses an unusual domain, choose Keep mine and continue. Then click Save.
Step 4: Confirm the Change
Because you are changing how someone signs in, SquadTrip asks you to confirm. The confirmation window shows the old and new addresses side by side so you can check the spelling one last time.
Click Change email to apply it. You'll see a green ✓ Updated note next to the address.
What Happens After the Change
Login | The traveler signs in with the new address. The old one stops working immediately. |
Password | Unchanged. They keep the same password they had before. |
All their bookings | Every booking that traveler has with your company is updated to the new address -- not just the one you were viewing. |
Future emails | Confirmations, receipts, and payment reminders go to the new address from now on. |
Past emails | Already-sent emails are not resent. If they missed a receipt, they can download it from the Receipts tab on this same page. |
Payments | Nothing changes. The card on file, payment schedule, and balance are untouched. |
Notification to the traveler | None. SquadTrip does not email the traveler about this change. |
Important: Because no notification is sent, you must tell the traveler yourself. A quick message -- "I fixed the email on your booking, you can now sign in with [new address], same password" -- prevents a second round of confusion.
If the Traveler Uses Google Sign-In
After the change, they should sign in with the Google account that matches the new address. If they don't have one, they can use Forgot password on the login page to set a password for the corrected email.
Preventing Typos at Checkout
SquadTrip also runs the same typo check on the checkout page, so travelers see a "Did you mean...?" hint before they ever complete a booking. It's advisory only -- it never blocks the payment button -- but it catches the most common domain and extension mistakes before they become a problem.
Troubleshooting
Problem | What it means / what to do |
"That email already belongs to another traveler in your account." | Another traveler in your company already uses that address -- often the same person with a second, duplicate account. Search your travelers for the address. If it's a duplicate of the same person, decide which account keeps the trip, then cancel or ignore the other. |
"Please enter a valid email address." | The address is missing an |
I don't see an Edit link | You have view-only access to this trip. Ask an admin on your team to make the change, or to grant you edit access. |
Traveler still can't log in | Have them use Forgot password with the new address. If they were signing in with Google, they must use the Google account matching the new address. |
Traveler says they still aren't getting emails | Confirm the new address is spelled correctly on this page, then have them check spam/promotions. Receipts can always be downloaded from the Receipts tab. |
Frequently Asked Questions
Q: Does this change the traveler's password? A: No. Only the email address (and therefore the username) changes. Their password stays exactly the same.
Q: Does the traveler get an email telling them their login changed? A: No. Nothing is sent automatically -- by design, since the old address is often broken and the new one is unverified. Tell them directly.
Q: Does this affect their payment schedule or the card on file? A: No. Payments, balances, saved cards, and scheduled installments are completely untouched.
Q: What if the traveler is booked on two of my trips? A: All of their bookings with your company are updated at once. You only need to do this in one place.
Q: Can I change my own organizer login email this way? A: No. This tool is for travelers on your trips. To change your own organizer login, contact SquadTrip support at [email protected].
Q: Can the traveler change it themselves? A: Not from their dashboard. Travelers should ask you -- their trip organizer -- to make the change.
