How SquadTrip automates payment reminders and receipts to keep travelers informed and reduce missed payments

Overview

When organizing a trip with SquadTrip, it's essential to keep your travelers informed about their payment status. To help with this, SquadTrip sends automatic reminders and receipts to ensure everything runs smoothly. When you create your trip, the logo you select will appear on all receipts, giving your communications a professional touch.

Payment Reminders

By default, SquadTrip sends an automated email reminder to your travelers two days before a scheduled payment. This reminder ensures that they check their payment methods and have sufficient funds available to avoid delays. The email serves as a helpful prompt for travelers, reducing the risk of missed payments.

Customizing Reminder Timing

You can customize when payment reminders are sent to better suit your trip's needs:

  1. Go to Automatic email settings in your trip builder flow

  2. Click on Payment Reminder

  3. Find the field labeled "Days before to trigger the reminder from the actual scheduled date"

  4. Change the value from the default "2" to your preferred number of days

  5. Save your changes

Payment Confirmations and Receipts

Once a payment is successfully processed, both you and your travelers will receive a confirmation receipt. This provides clear proof of the transaction for both parties.

Failed Payment Notifications

If a payment fails—due to insufficient funds or another reason—your travelers will receive a notice detailing the reason for the failure.

This automated system helps streamline your payment process and ensures that both you and your travelers are always on the same page when it comes to financial transactions, making the entire trip experience smoother and more organized.
