How to Add Registration Questions

This guide walks you through adding custom registration questions.

Registration questions let you customize your registration form and gather important information from travelers during sign-up.

Getting to Registration Questions

  1. From your organizer dashboard, click "Edit" on the trip you want to configure

  2. In the left sidebar, find "Registration Questions" under Optional Enhancements

  3. Click to open the registration questions builder

Steps to Add Registration Questions

  1. Access Trip Management for the desired trip

  2. Select Registration Questions from Optional Enhancements

  3. Choose a question type format

  4. Enter the question text displayed to guests

  5. Provide a label for the organizer dashboard

  6. Select whether the question is required

  7. Click Save Changes before clicking Next

System Registration Questions

SquadTrip automatically includes system registration questions for essential traveler information (such as name and contact details). These appear alongside your custom questions during checkout.

For Quick Checkout companies, system questions are displayed to ensure all necessary information is collected even with a streamlined checkout flow.

Key Features

  • Required questions: Toggle "is required" to ensure travelers must answer before completing registration

  • Trip-specific vs. account-wide: Toggle "Is this question specific to this trip?" to limit it to one trip or apply it as a default across all trips

  • Reorder: Use arrow buttons to change question order

  • Edit: Click a question to modify it, then save

  • Delete: Remove questions through the same interface

  • Image uploads: When travelers upload images (e.g., passport photos), these are viewable directly in the organizer dashboard -- you can see the uploaded images without needing to download them

Recommended Registration Questions

  • Full name (as it appears on passport)

  • Contact phone number

  • Rooming preferences

  • Date of birth and gender

  • Complete mailing address

  • Dietary preferences/restrictions

Troubleshooting

Problem

Registration questions not showing during checkout

Verify questions are saved and the trip is published. Draft or unpublished trips do not display registration forms to travelers. Re-open the Registration Questions section and click Save Changes.

Travelers cannot upload files or images

Ensure the question type is set to File/Image Upload. Uploaded files must be under the size limit. Ask the traveler to try a different browser or clear their cache if the upload button is unresponsive.

Question order changed unexpectedly after saving

Use the arrow buttons to reorder questions, then click Save Changes immediately. Navigating away before saving discards reorder changes.

Account-wide questions appearing on trips where they are not needed

Edit the question and toggle "Is this question specific to this trip?" to ON. This restricts the question to the current trip only and removes it from other trips.

Frequently Asked Questions

Q: Can I add registration questions after travelers have already booked? A: Yes. You can add new questions at any time. However, existing travelers who already completed checkout will not be prompted to answer the new questions. Only future bookings will include the updated registration form during their checkout process.

Q: Is there a limit to how many registration questions I can add? A: There is no hard limit on the number of registration questions. You can add as many custom questions as your trip requires. Keep in mind that longer forms may slow down the checkout experience, so focus on collecting only the information you truly need.

Q: Can travelers edit their registration answers after they book? A: Travelers cannot edit their registration answers directly. If a traveler needs to update their responses, they should contact the organizer, who can view the answers in Trip Data. For critical updates like passport information, the organizer can coordinate changes offline.

Q: What file types can travelers upload through the File/Image Upload question? A: Travelers can upload common image formats (JPG, PNG) and document files. Uploaded images are displayed inline in the organizer dashboard so you can view passport photos, ID documents, and other files without downloading them separately.

Q: Do system registration questions count toward my custom question limit? A: System registration questions (name, email, contact details) are separate from your custom questions and are included automatically by SquadTrip. They appear alongside your custom questions during checkout but do not affect your ability to add additional custom questions.
