Overview

SquadTrip lets organizers edit any traveler's upcoming payment schedule without affecting their booking or reservation status. You can change installment amounts, adjust due dates, add or remove installments, and view fee breakdowns -- all from the Edit Order flow in Trip Data.

Step-by-Step Instructions

  1. Access Trip Data -- Navigate to "Trip Data" in your dashboard after logging in to view traveler details.

  2. Search for the Traveler -- Locate the specific traveler whose payment schedule needs modification. Click their first name to open their profile.

  3. Enter Edit Mode -- Click the "Edit Order" button to enter editing mode for that specific order.

  4. Navigate to Payment Section -- Click "Next" to advance through the order steps until you reach the payment schedule section.

  5. Adjust Payment Plans -- In the "Schedule of Upcoming Payments" section, you can:

    • Change the number of installments -- The remaining balance automatically redistributes equally across selected plans

    • Modify due dates -- Adjust when each payment is charged

    • Redistribute amounts -- Manually adjust individual installment amounts

    • Delete and recreate installments -- Remove existing installments and set up new ones

    • View fee breakdown -- See how fees (including BNPL fees if applicable) are calculated on each installment

  6. Review and Confirm -- Click "Next" to review your changes, then click "Save" to finalize the updated payment schedule.

Important Notes

  • Click "Edit Order" once to enter editing mode

  • Updated payment schedules take effect immediately

  • Travelers can view changes in their dashboard

  • Editing a payment plan does not affect the traveler's reservation or booking status

  • Ensure the last payment date is before the trip start date

"Edit Order" button is not responding

Refresh the page and try again. If the issue persists, ensure you are logged in as the trip organizer and not a co-organizer with limited permissions.

Cannot find the traveler in Trip Data

Use the search bar at the top of Trip Data to search by name or email. If the traveler does not appear, they may not have completed their booking -- check the waitlist or pending registrations.

Changes are not saving after clicking Save

Verify that the last installment date is before the trip start date and that each installment is at least $35. If all values are valid, try clearing your browser cache and repeating the edit.

Traveler does not see updated schedule in their dashboard

Changes take effect immediately but the traveler may need to refresh their page. Ask them to log out and log back in if the old schedule still appears.

Frequently Asked Questions

Q: Will the traveler be notified when I edit their payment plan? A: No — SquadTrip does not send an automatic email notification when you edit a traveler's payment plan. The updated schedule is visible when they log into their dashboard, but they won't know it changed unless you tell them. We recommend messaging the traveler directly via Group Chat, email, or text to explain what changed and when their next payment is due.

Q: Can I edit a payment that has already been processed? A: No. You can only modify upcoming (future) installments. Payments that have already been charged cannot be edited through the Edit Order flow. To adjust a completed payment, you would need to process a refund separately.

Q: How do I save changes after editing a payment plan? A: After adjusting the payment schedule, click "Next" to advance through the order steps, then click "Save" to finalize your changes. If the Save button is not responding, refresh the page and try again.

Q: Can I change a traveler from installments to pay-in-full? A: Yes. In the Edit Order flow, you can consolidate all remaining installments into a single payment. Adjust the number of installments to one and set the amount to the full remaining balance. The traveler will then see one upcoming payment instead of multiple installments.
