Build or edit a trip with AI

Describe your trip, or upload a flyer, itinerary or room list, and the AI builds your trip page for you to review and publish; later, change anything by asking.

Describe your trip in your own words, or give the AI builder a flyer, an itinerary or your hotel's room list. It sets up your trip for you: packages, rooms, prices, a starter itinerary, registration questions and photos. You check the draft and publish it when you're ready.

Once a trip exists, you can change anything on it by asking in your own words. The AI editor shows you each change before anything is saved. If your trip was created on an older version of SquadTrip, some screens may look different.

Prefer to watch? Here's a short video of building a trip with AI.

Before you start

  • Sign in to your organizer account. The AI builder appears on the trip screen once you're signed in, on every SquadTrip account.

  • Have your dates ready. The AI builder needs the trip's start and end dates before it can build.

  • To change an existing trip with AI, you need edit access to it. Sub-organizers can use the AI editor on the trips they can edit.

How it works

You tell it about your trip, it sets the trip up as a draft, and you review the draft and publish it.

The AI builder shows these three steps when you start: Tell me about your trip, I set it up and Review & publish. Nothing goes live until you publish, and the AI never publishes for you.

Start a trip with AI

On your dashboard, click + Add New Trip, or click Create Trip at the top of any trip's dashboard. The first screen asks What kind of trip are you planning? Under Build with AI, click Start with AI, drop your files on Drop your flyer or files here (or click it to choose them), or click Or describe it in a chat.

What kind of trip are you planning? screen with the Build with AI card: Start with AI, the Drop your flyer or files here box and Or describe it in a chat, above the templates

The Build with AI page opens, and starts reading any files you dropped. Your chats are saved: to go back to one later, find it under PICK UP WHERE YOU LEFT OFF on the same screen and click Resume chat.

Tell the AI about your trip

Under Start any way you like, pick Describe it, Paste a link or Upload a file, or just type in the box at the bottom. You can also click the paperclip, or drag files onto the chat.

  • Describe it in your own words, or paste text from anywhere, such as an email from your hotel.

  • Paste a link to your trip page or a hotel listing. The AI builder uses that page's photos for your trip.

  • Upload a file, such as a rate sheet, a flyer or an itinerary: PDF, Word (DOCX), Excel (XLSX), CSV or a photo.

What to tell the AI:

  • Your dates and where the trip goes.

  • Where people stay, such as one hotel, a villa or a ship.

  • Each kind of room and how many you have, such as 8 Garden Rooms and 4 Beach Suites.

  • How many people sleep in each room, and whether travelers who don't know each other may share a room.

  • The price per person, and the price for a room to yourself if you offer one.

  • Any versions of the trip, such as Standard and Premium.

  • Your deposit, if you take one, and any add-ons, such as an airport transfer.

For example, you might type: "Bali Wellness Retreat, 10 to 17 May 2027 in Ubud. 8 Garden Rooms for 2 at $875 per person to share, $1,250 alone. 4 Beach Suites for couples at $1,450 per person. A Premium version adds daily spa treatments for $300 more per person."

Not sure how to sell your rooms? See Plan your rooms and packages.

Check the Live draft and answer its questions

While the AI builder reads what you shared, a card in the chat shows Setting up your trip. It usually takes 1 to 2 minutes. You can keep chatting, or leave the page and come back: your chat is saved.

On the right, the Live draft lists each part of your trip as it's set up, from Basics, Packages, Rooms and Pricing to Itinerary and Registration questions. The label at the top says what's still needed, such as "Needs 1 answer: the dates", and changes to Ready to build when everything is in.

If something is missing, the AI asks. Tap one of the answers it offers, or type your own. Amber items are things it assumed because you didn't say. Click Keep to accept one, or Change to tell the AI what's right. To take back your last change, click Undo last change.

When the label reads Ready to build, the chat says "Your trip is set up on the right. Check the amber items, then build it."

Build with AI page: the organizer's description of the Bali Wellness Retreat in the chat, a reply with Change something and Build my trip, and the Live draft marked Ready to build with an amber pricing assumption and Keep and Change buttons

Build your trip

Click Build my trip. A bigger trip takes longer and shows its progress. Nothing is added to your trip until the whole build finishes. If a build stops or fails, nothing is changed and everything you agreed stays in the chat.

If the trip has no dates yet, the AI builder asks for them first: click Add the dates and type them in the chat.

When the build is done, Review your draft opens.

Review your draft

Review your draft shows your trip page as travelers will see it. Nothing is live until you publish. Beside the page, check each box:

  • What I built: a summary, such as how many packages, rooms and spots, and the itinerary days.

  • Registration questions: the questions travelers answer at checkout. Name, email and phone are always collected.

  • Photos: click Swap photos, pick the photo to replace, then pick another or click Upload yours. Each swap saves right away, and you can click Undo.

  • Needs you before publishing: things only you can do, such as Connect Stripe or Square to take payments. If you left a price out, the AI builder used a placeholder price and lists it here. Change it, or click Keep this price.

  • Please confirm: what your files didn't say, so the AI assumed. Check each one.

  • Not on the page yet: rooms or hotels that had no price in your files. Travelers can't book them until you add their prices.

To change anything, click Keep chatting and ask the AI, or click Edit in form builder to change it yourself in the Trip Builder steps.

Review your draft page: the trip page preview beside What I built, Registration questions, Photos with Swap photos, Needs you before publishing, Please confirm (1), and the Preview my trip page, Publish my trip, Keep chatting and Edit in form builder buttons

Publish your trip

Click Preview my trip page to open your trip page in a new tab. When you're happy, click Publish my trip. The Before You Publish Your Trip checklist opens: connect your payment account if you haven't yet, then click Publish My Trip.

The Your trip has been published! pop-up shows your promo video being made, and your trip dashboard opens when you close it. See Your trip's promo video.

Change a trip with AI

Open the trip's dashboard and click Edit with AI at the top. On a phone, it's under Trip Actions. You can also click ✦ AI editor in the bar at the top of any Trip Builder step, or Keep chatting on Review your draft.

Top of a trip dashboard with the Create Trip, View Trip Page, Edit with AI, Group Chat, Share and Trip Actions buttons, and Edit with AI highlighted

Type what you want in the box at the bottom, or start from a Try asking suggestion: Change a price and add a question, Paste an update from your hotel or, on a trip with rooms, Upload a new room sheet. When you share an updated room list, the AI editor compares it with your trip and shows what would change.

On the right, on a trip with rooms, Inventory shows how many of each room you have and how many are booked. Below it, the Live preview highlights the change you're looking at, above your trip page.

The AI editor answers with the change it would make, starting "Here's 1 change to review:". It shows the old value, the new one and who it affects. For example, a new price is for new bookings only: travelers who already booked keep their price unless you edit their order. Click Confirm 1 change to make it, or Adjust in form builder to make it yourself. When there are more changes, untick any you don't want, then click Apply, or click Cancel.

The change is saved straight away: "Done. The change is live." on a published trip, or saved to your draft. Click Undo to put it back, or See it in the form builder to open the step it's on.

Good to know

  • The AI never publishes, charges or refunds. It doesn't publish your trip, take or refund payments, or change bookings. Publishing is always your click.

  • Up to 10 files in one chat. Each file can be up to 10 MB. Older Excel (.xls) and Word (.doc) files can't be read: save them as XLSX or DOCX first.

  • Your trip stays yours to edit. You can change anything the AI set up in the form builder: click Form builder in the bar at the top, or Edit in form builder on Review your draft. Check your FAQ and terms there before you publish, because they start from standard text.

  • Undo the newest change first. A change can't be undone once travelers have booked or bought what it added.

  • If the trip changed in the meantime, nothing is applied. When someone edits the trip after the AI suggests a change, ask again and the AI redoes it.

  • Your chats are yours. A teammate who opens Edit with AI on the same trip starts their own chat. The trip itself is shared.
