Set up rooms for your trip

Choose how you sell the trip, add the rooms travelers can book, price them in each package, and know what you can change after you publish.

Not sure how to set this up? Plan it first in Plan your rooms and packages, or describe your trip to the AI builder and let it build the rooms for you.

This video shows how rooms and packages work, from what you set up to what travelers see.

This article takes you through the Rooms step of the Trip Builder click by click: choosing how you sell the trip, adding rooms, pricing them in more than one package, and what you can still change after you publish. For every field of the room form, see Add a room and choose how it's sold.

Before you start

  • You need edit access to the trip. Without it, the Rooms step is greyed out and you can't save.

  • Every trip starts from the AI builder or a template, so yours may already have rooms or packages. You change them on the screens below. New to the Trip Builder? Start with How to Build a Trip on SquadTrip.

  • If your trip was created on an older version of SquadTrip, some screens may look different.

Choose how you sell the trip

On a trip with no rooms or packages yet (for example after you delete them all), the second step of the Trip Builder menu reads Pricing and asks How are you selling this trip? Pick the choice that matches what travelers will see. Not sure which? See Plan your rooms and packages.

  • Travelers choose a room: travelers sleep somewhere, even when everyone pays one price with two to a room.

  • Different packages: travelers choose a version of the trip first, such as Standard vs VIP or 3 nights vs 5 nights.

  • No rooms: tickets, events or transport only: nobody sleeps anywhere on the trip.

Click Continue. Travelers choose a room opens the form for your first room, Different packages opens What's different between your packages?, and No rooms opens the package form with One price per person chosen.

How are you selling this trip? with Travelers choose a room picked, Different packages and No rooms beside it, and the Continue button

You can change your choice until the trip is published. After that first choice, the menu names the step for what you set up: Rooms when you sell rooms only, or Package or Packages followed by Rooms when a package is priced by room.

Let the AI builder set up your rooms

When you create a trip, click Start with AI under Build with AI on What kind of trip are you planning?, then describe the trip or drop in an itinerary or your room inventory list. The AI builder creates the rooms, the ways each one sells, packages and prices, and you review it all before anything goes live. On a trip you already have, click ✦ AI editor at the top of any Trip Builder step, or Edit with AI on the trip dashboard. Nothing changes until you confirm it. For what to tell the AI, see Plan your rooms and packages.

Find your rooms on the Rooms step

Click Rooms in the Trip Builder menu. The list shows every room travelers can book, in the order they see them on your trip page. Each room shows how many you have, its photos, each way it's sold with its price, and how many are booked, such as "2 of 10 booked".

Rooms step of a rooms-only trip with + Add a room, the About what you're selling settings and three rooms with their ways to sell and booked counts

  • + Add a room adds a room (see Add a room below).

  • Edit opens a room's form.

  • Duplicate opens a copy named "[Copy] Garden Room", ready to change and save.

  • Delete removes a room nobody has booked, with its options, ways to sell, prices and photos. This can't be undone.

  • The up and down arrows move a room, which moves it on your trip page too.

A pill next to a room's name shows when it's Sold out, closed to new bookings, or marked hides when sold out.

Describe what you're selling (rooms-only trips)

When you sell rooms only, About what you're selling sits at the top of the Rooms step. Its settings cover the whole trip:

  • Description (optional): what travelers get before they pick a room. Empty is fine.

  • Show this to travelers: Always, Until sold out or Never.

  • Enable promo tag: shows "Only N remaining!" on the trip page when 5 or fewer are left.

  • Mark as sold out: marks everything on the trip sold out at once. Each room also has its own sold-out setting.

Click Save, which appears once you change something. If you add a second package later, these settings become the first package's.

Add a room

Click + Add a room. Under The room, type the Room name, choose How many you have (Unlimited or Set a limit) and add Photos. Under How it sells, set the Occupancy, the Price per person, whether it's Sold as a Whole room or Shared, and the Name travelers see. To sell the same room another way, click + Add another way to sell this room, for example as Private room, just you.

Click Save room. The room appears in your list. For every field, who can fill an open spot, and options such as a king bed or two queens, see Add a room and choose how it's sold.

Sell rooms in more than one package

Use packages when travelers choose a version of the trip first, such as Standard and Premium. On the package form, How is this package priced? offers One price per person or By room. A package priced By room takes its prices from your rooms, and its Rooms in this package box has Edit rooms and + Add a room. See How to Create a Package.

In a room's form, every way to sell it has a price box for each package priced by room. Type a price in each package that sells the room. Blank = not sold in that package.

On the Rooms step, Packages & pricing says how many room packages the trip has. If a room has no price in any package, a note names it: travelers can't book it until it has a price in at least one package. Click Open grid to see every price at once.

In Packages × rooms, each row is a room and a way it's sold, and each column is a package. Click a price, type the new one and click Save. Click + Add price to sell that row in a package that doesn't sell it yet. Every price is per person; a whole room sells for the price per person times its size. With more than three packages, use Next › and ‹ Previous to see the rest.

Packages x rooms price grid with Standard and Premium columns, a price per person in each cell and + Add price where a room is not sold

Each price saves as soon as you click Save, and the room's form shows the new price.

Add a second package to a rooms-only trip

Selling rooms only, and now you need a second package such as VIP? On the Rooms step, click Add a second package. SquadTrip asks What's different between your packages?: tick what changes the price (Tier, Length of stay, Hotel or Airfare), name each one, and click the create button, which says how many packages it will make. Your rooms keep their prices in the first package, and the price grid opens so you can price the others.

To add one package by hand instead, click Add one package yourself, type a name under Name package 1 (for example Standard) and click Continue. Your rooms, prices and settings become that package, and the package form opens for your second package.

Room types, beds and who's in the room are never packages: they go on the Rooms step as rooms, options and ways to sell.

Turn Single and Double packages into one room

Packages named like ways to book a room, such as Single and Double, make travelers pick a package first, and nobody is placed in a room. When SquadTrip spots packages like these, the Packages page shows a note above them with Combine into one room and Keep as packages.

Packages step with Single and Double packages and the note that they look like one room sold two ways, with Combine into one room and Keep as packages

Click Combine into one room. Type the Room name, check How many you have and How each package carries over, and read Travelers will see:. If the packages ask for different deposits, choose One room, one deposit. or Keep them as packages, each with its own deposit. Then click Combine.

Each package becomes a way to book the new room at its price, and its add-ons and promo codes move with it. The room opens on the Rooms step so you can add photos and a description. Combining can't be undone, and it's only available before the trip is published or booked.

If they really are different packages, click Keep as packages. When you name a new package something like Double, the package form also offers Set it up as a room, or Keep as a package if you mean it.

Publish, and change rooms afterwards

If your packages still look like Single and Double when you click Publish, SquadTrip shows Before you publish first. Click Fix it first to go to the Packages page, or Publish anyway.

After you publish, your rooms stay editable. Changes to rooms, options and prices that nobody has booked show on the trip page as soon as you save, so you can add rooms, ways and options and change prices and counts. What travelers have already booked stays as they booked it:

  • A booked room keeps its name, and booked options keep theirs, so receipts match what travelers bought. To rename an option for new travelers, duplicate it and hide the old one.

  • A booked way keeps its occupancy and whether it's sold whole or shared. Add another way instead.

  • A new price on a booked way applies to new bookings only.

  • How many you have can't go below the rooms already booked.

  • A booked room can't be deleted: mark it sold out instead. A published trip needs at least one room.

Changing how the trip is set up waits until you unpublish it: the choice on How are you selling this trip?, adding a second package, creating or combining packages, and How is this package priced?

After travelers book

The Rooms tab on the trip dashboard shows who is in each room and which spots are open. From there you can Move to another room or Add a traveler to an open spot. In a saved room's form, Open Rooms tab → takes you there. See Move travelers between rooms and print the rooming list.

Examples

For common setups, from a retreat with shared or private rooms to VIP vs Standard packages and cruise cabins, and what travelers see for each, see Plan your rooms and packages.

Good to know

  • Prices are per person. A whole room sells for the price per person times the number of people it holds.

  • Order matters. The order on the Rooms step is the order on your trip page.

  • Rooms sell out on their own. When every room of a kind is booked, travelers see it as sold out. You only switch something on to close a room early.

  • Room names must be unique on a trip.

  • Check your work. Click Preview at the bottom of the Rooms step to see your trip page as travelers will.
