The Payments & Settings section allows organizer to manage how travelers pay for their trips in one place. organizer can turn different payment methods such as Apple Pay, Klarna, Afterpay, or Affirm on or off, depending on what works best for organizer trip.
It also gives organizer the ability to enable auto-billing features like auto-charge and auto-retry, reducing manual follow-up for payments. To make things easier for travelers, organizer can allow them to update their saved payment method or even reschedule upcoming payments when needed. Finally, organizer can decide whether to offer a simple pay-in-full option, flexible installment plans, or both. Together, these tools make collections smoother for organizer while giving travelers greater flexibility and convenience in how they pay.
Step 1: Open Payments
Start by going to organizer Trip Builder and clicking on Payments in the left-hand menu. This will take organizer to the Payments & Settings page, where all organizer payment controls are grouped together.
On this page, organizer will see three main sections:
Payment Options – Pick which payment methods (like Apple Pay, Klarna, Afterpay, or Affirm) organizer want to make available for travelers at checkout.
Payment Settings – Manage how payments are collected, such as turning on auto-billing, retrying failed payments, and letting travelers update or reschedule payments.
Trip Settings – Decide if travelers must pay the full amount upfront, spread their balance across installments, or choose between the two.
This is the starting point for customizing how travelers will pay for organizer’s trip.
Step 2: Choose Payment Options
In Payment Options, organizer can toggle between different providers such as Apple Pay, Afterpay, Klarna, and Affirm. By default, all these options are enabled in the free version, but to switch any of them off organizer will need a paid plan.
Keep in mind that Pay Later options (like Klarna or Affirm) may also include additional charges for travelers. Simply switch the toggle ON to activate a provider, and then click Save Payment Options to confirm organizer changes. Organizer can read more about Payment and Fees here Payment and Fees
Step 3: Adjust Payment Settings
In Payment Settings, organizer can decide how payments are collected and managed for organizer trip. This section gives organizer control over whether payments are charged automatically, retried when they fail, or updated by travelers.
Here’s what each option does:
Auto Charge Travelers on Due Dates – Payments are automatically charged on the traveler’s scheduled due date, saving organizer from chasing payments manually.
Auto Retry Failed Payments Every 2 Days – If a payment doesn’t go through, the system will keep retrying every two days until it succeeds.
Let Travelers Reschedule Payments – Gives travelers the flexibility to reschedule payments until the last payment date.
Allow Travelers to Update Payment Method – Travelers can change or update their saved card anytime to avoid failed charges.
Step 4: Configure Trip Payment Options: Pay in Full or Pay in Installments
In Trip Settings, organizer control exactly how travelers will pay for each package. organizer have two main options: Pay in Full or Pay in Installments. organizer can enable either or both depending on what works best for organizer trip.
When organizer enable Installments, organizer can set up several important details:
Minimum Deposit: This is the upfront amount travelers must pay when they pick the installment option. (SquadTrip requires at least $35 minimum deposit. organizer deposit should also help cover any advance costs organizer may need to pay suppliers). Read more about it here Setting a Minimum Deposit
First Payment Date: organizer might set the first installment to be due one month after booking (for example, if a traveler books on March 1st, their first installment would be due April 1st).Read more about it here Setting up Payment Plans with Auto Billing
Duration / Number of Months: Pick how many monthly payments travelers will make. Squad Trip calculates the amounts automatically and sends reminders five days before each due date. Read more about it here Setting up Payment Plans with Auto Billing
Additional Fee (Optional): If offering installments costs organizer more, or organizer want to encourage travelers to pay in full, organizer can add a small extra fee for those who choose installments. organizer may also set this fee to $0 if organizer want to keep plans more attractive. Once organizer plan is saved, auto-billing takes over , travelers are charged on schedule without organizer needing to send reminders. This ensures payments are collected smoothly and on time.

If organizer don’t see the Pay in Installments option, there are a few things to check:
Trip Dates – Make sure organizer have entered correct start and end dates in the Trip Basics and Package section section. The system uses these dates to calculate installment schedules.
Package Pricing – Confirm that each package has a price set up correctly. Without pricing, the system can’t generate installment amounts.
Room Types – If organizer trip uses room types, ensure the pricing is set under the Room Type Options as well. Incorrect or missing pricing here can prevent the installment feature from showing.
