Communicating with Your Travelers

Effective communication keeps your travelers informed and engaged, enhancing their overall experience.

Sending Promotional Emails and Text Messages

Promote your trip to a wider audience and encourage bookings.

Steps to Send Promotional Email:

  1. Go to My Trips.

  2. On the trip card, click Trip Management.

  3. In Trip Builder, select Promote your trip.

  4. Click + Add New Email.

  5. In Email Settings:

    • Sender name: Enter the display name.

    • Reply-to email: Enter the reply address.

  6. Choose recipients in Who do you want to invite?

    • Select the travelers from the trips and choose Select trip(s), or

    • Enter the emails manually.

  7. In Email Message:

    • Subject: Add a catchy subject line.

    • Message: Write engaging content. Use merge tags if needed.

    • Images or Links: Include if appropriate.

  8. Click Generate preview in Preview email to review the layout.

  9. (Optional) In Test email, enter an address and click Send test email.

  10. In Scheduling Settings, choose Send now or Schedule.

  11. Send or save per your schedule.

Note: Ensure you have consent to contact your recipients.


Communicating with Your Guests

Keep your travelers updated with important information about their upcoming trip.

Steps to Communicate with Guests:

  1. Navigate to the "Guest Communications" section.

  2. Click on "Create New Message".

  3. Compose your message and include any necessary attachments.

  4. Choose your audience (all guests or specific individuals).

  5. Send immediately or schedule for a later date.

💡Tip: Regular communication can enhance the traveler experience and reduce last-minute issues.


Customizing Your Automated Emails

Personalized emails improve engagement and reflect your brand's voice.

Steps to Customize Automated Emails:

  1. Go to My Trips › Trip Management.

  2. In Trip Builder, select Automatic Email Settings.

  3. Click the pencil icon next to the email you want to edit.

  4. Edit the subject line and body to align with your messaging.

  5. Preview the email to check formatting.

  6. Save your changes.

Built-in templates and triggers

  1. Deposit email: Sent when a deposit is made.

  2. Payment email: Sent when a payment is made.

  3. Outstanding email: Sent on the 1st day of every month.

  4. Payment failed email: Sent when a payment has not cleared.

  5. Cancellation email: Sent when a trip is cancelled.

  6. Abandoned cart email: Sent when a traveler has not completed booking.

  7. Payment reminder: Sent as a payment due date approaches.

Note: Remember to maintain essential information like dates and payment details.


Editing Communication Settings

Ensure communications are sent from the correct email address and that team members receive necessary notifications.

Steps to Edit "Notification and Email Settings"

  1. Go to SettingsNotifications and Emails.

  2. In Notifications for My Trip Bookings:

    • Notifications Email: Choose Organizer email or Company email for new bookings, payment alerts, and inquiries.
      Note: Company email is always CC’d for Sub-Admin accounts.

    • CC additional admin emails: Enter an address and click Add.

  1. In Booking Notifications to Travelers:

    • Sender Name: Pick Organizer name or Company name for the “From” line on automated emails.

    • Reply-To Email: Pick Organizer email or Company email to receive replies.

  2. Click Save Changes.
