SquadTrip lets you download your trip itinerary as a PDF document — perfect for printing, sharing with travelers, or keeping an offline copy for the trip.
Getting to the Itinerary PDF
For Organizers:
Open your trip page (the View Trip Page button in the trip dashboard header; on mobile it sits under Trip Actions, and a Draft trip shows Publish instead, so use the trip link) and scroll to the Trip Itinerary section
Click the download icon beside the heading (tooltip: Download Itinerary PDF)
For Travelers:
Open the trip page you booked from -- no login needed
Scroll to the Trip Itinerary section
Click the download icon beside the heading (tooltip: Download Itinerary PDF)
Downloading the Itinerary PDF
For Organizers
Open your trip page (View Trip Page in the trip dashboard header; under Trip Actions on mobile)
Scroll to the Trip Itinerary section
Click the download icon beside the Trip Itinerary heading
The PDF is generated and downloads automatically to your device
For Travelers
Open the trip page you booked from (the link the organizer shared)
Scroll to the Trip Itinerary section
Click the download icon beside the heading to save a copy
Your traveler dashboard also shows the itinerary, but the PDF download lives on the trip page
What's in the PDF?
The itinerary PDF includes all the details the organizer has added:
Day-by-day sections (Day 1, Day 2 …) with each day's title, photo and description
Activity time and description for each item in the day
Trip name and dates as headers, with the organizer's company name (no logo)
Formatted for easy reading and printing
Tips
Download before you travel — have an offline copy in case you don't have reliable internet at your destination
Share with your group — email the PDF to travelers who prefer a printable schedule
Print a copy — great for posting in a shared vacation rental or handing out at the airport
The PDF is a snapshot — SquadTrip keeps a generated copy and rebuilds it when the organizer saves trip settings such as packages or policies; itinerary-only edits may not refresh it straight away
Troubleshooting
PDF not downloading? Check your browser's download settings -- the file is served as a direct download, so pop-up blockers are not involved
Content looks outdated? SquadTrip caches the generated PDF and refreshes it when the organizer saves trip settings. If a fresh download is still out of date, ask the organizer to save the trip again or email [email protected]
No download icon? It only appears once the organizer has added itinerary days. Check back later
Frequently Asked Questions
Q: Does the itinerary PDF update automatically if the organizer makes changes? A: No. The PDF is a snapshot of the itinerary at the moment you download it. If the organizer adds, removes, or reorders items after you download, you need to download a fresh copy to see the latest version (the cached PDF refreshes after the organizer saves trip settings).
Q: Can I share the itinerary PDF with people who are not booked on the trip? A: Yes. The downloaded PDF is a standard file you can share via email, messaging apps, or print. It does not require a SquadTrip account to view, making it easy to share with friends, family, or travel companions.
Q: Is the itinerary PDF available on mobile devices? A: Yes. The download icon works on both desktop and mobile browsers. On mobile, the PDF saves to your device's default download location or opens in your PDF viewer, depending on your device settings.
Q: Can I download the itinerary PDF before the trip is fully booked? A: Yes. You can download the PDF at any time as long as the organizer has added itinerary items. The PDF comes from a saved copy that refreshes when the organizer saves trip settings, so an itinerary-only edit may not show until then -- whether or not the trip is still open for bookings.
